Rebate Automation Checklist
A 30-point checklist for automating rebates
30 checks to find where your rebate programs lose time and money, and what to look for before you automate them. It covers agreements, ERP data, calculations, claims, reporting, and audit controls, with a scorecard and an ROI worksheet. Free, and the only thing we ask for is an email address.
What the checklist covers
- Where rebate programs lose money
- Which rebate types you run
- Agreements and setup
- Data and ERP connection
- Calculations and accruals
- Claims and payments
- Visibility and reporting
- Controls and audit
- A scorecard that shows your weakest area
- An ROI worksheet
Why automate rebate management?
Manual rebate programs break in predictable places. Accruals drift from what was actually sold, claims get paid against agreements that changed mid-quarter, and nobody finds the difference until an auditor asks. Automating the calculation removes the arithmetic errors and gives you a record of which transaction produced which dollar.
The other change is timing. When accruals track against live purchase and sales volume, you see a program running over budget while you can still do something about it, instead of at close.
Frequently asked questions
Answers to common questions about rebate automation and the free checklist.
Why do you need my email?
We ask for your email so we can send you the checklist and occasional resources on rebate management. We will not share your information with third parties.
How will rebate automation benefit my business?
Rebate automation takes the spreadsheet work out of calculating and paying rebates. Teams on incentX see a 95% reduction in manual effort and 100% payout accuracy. Each claim is matched to the ERP transactions it covers, and each payout clears the approval levels you configure before it is released.
Is this checklist suitable for small businesses?
Yes. The checklist works for a rebate program of any size. Headcount matters less than how many agreements you run and how many ERP transactions feed them. If spreadsheets and manual steps no longer keep up with that volume, the checklist shows where to start.
How long does it take to implement rebate automation?
An incentX implementation averages six weeks from start to go-live. A kick-off workshop maps your rebate agreements and data sources, and we then configure and test your programs before launch. For a supported ERP, the connector itself is usually live within a day once IT provides credentials.
What counts as a transaction?
A transaction is anything sourced directly from your ERP: a sales order, invoice, credit memo, purchase order, or AP invoice. A customer record on its own is not a transaction.
What is backfill data?
Backfill is historical data you bring in from before your incentX subscription started, most often to support growth-incentive or rebate calculations that need a prior-period comparison. It’s imported as statistical values rather than full transaction detail, and it doesn’t count against your transaction volume. Your subscription starts on the date you actually begin using incentX, regardless of how far back the backfilled data goes.
