How Intuit QuickBooks Online and incentX work together

The Intuit QuickBooks Online integration gives incentX, an incentives and compensation platform, the invoices and sales records a small business already keeps in QuickBooks. incentX reads those records and AP/AR lines, calculates commissions, tracks deductions against the same transactions, and can post results back. Your team stops exporting reports into a spreadsheet to work out who is owed what.

What you can run on QuickBooks Online data

Commissions calculated from QuickBooks invoices

In a small company, commissions are often a spreadsheet someone rebuilds every month. incentX calculates each rep’s commission from the invoices already in QuickBooks Online, on Standard, Growth, or Tier-Based plans by customer or product. Reps can see what they’ve earned as invoices sync, and changing a plan doesn’t need anyone from IT.

Chargebacks, billbacks, and scan backs in one place

If you sell through distributors or retailers, deductions arrive as chargebacks, billbacks, and scan backs taken off what you’re paid. incentX records each one against the QuickBooks Online transaction and the program it belongs to. You can settle the valid claims and spot the deductions worth disputing before they eat into margin.

What each program costs, by customer and product

Commissions and deductions post against the same QuickBooks Online records, so you can see a program’s cost by customer and product next to the revenue it came with. Unlimited users are included, so your bookkeeper, sales manager, and reps can all see those figures without per-seat fees.

How setup works

  1. Your QuickBooks Online admin provisions read credentials or an API key for incentX, and whoever manages your network confirms allowlist rules for outbound connections.
  2. An incentX implementation engineer maps customers, products and services, and sales records to your commission plans and deduction programs, backfills history, and checks the results with you.
  3. Once the numbers match, you go live. Commissions and settled deductions can post back to QuickBooks Online as GL entries or AP/AR records.

Intuit QuickBooks Online integration FAQ

Does incentX integrate with QuickBooks Online?

Yes. The QuickBooks Online integration is bidirectional and provided by incentX. It reads invoices, sales records, and AP/AR lines to calculate commissions and track chargebacks, billbacks, and scan backs, and it can post results back to QuickBooks as GL entries or AP/AR records. QuickBooks stays your book of record.

Is incentX a fit for a small business on QuickBooks Online?

Yes, if the business runs more than one incentive type, such as commissions plus chargebacks, or processes enough transactions that manual calculation keeps taking finance time. Company size isn’t the test. Customers see a 95% reduction in manual effort, and pricing follows transaction volume with no per-user fees.

Do we need middleware or a data warehouse for QuickBooks Online?

No. incentX connects to QuickBooks Online without middleware or a data warehouse, so there’s nothing extra to buy or maintain. Native connectors typically sync changes in under five minutes, and systems without native event support sync on a schedule as often as every 15 minutes. incentX logs every sync with a timestamp and record count.
